Step 2. Creating a List of Campaign Participants
To make it easier to add contacts to your campaigns, you can create a Contact Form Share Link URL to use on any computer, tablet, or mobile device to collect contact information for participants. You can also add participants by uploading a spreadsheet or adding them manually.
Method 1: A Share Link
This method collects contact information for participants through a Contact Form Share Link. When a customer's information gets added to the campaign, they'll receive the survey text or email as you set it up to be distributed in your campaign.
- Under the Campaigns tab, find your campaign, hover over the name, and click on it to display the campaign properties.
- Select the Contacts tab and select Share Link.
- Select your business location to create a link.
- This field is optional for survey campaigns
- This field is required for review generation campaigns
- Select the clipboard icon to copy your link and click OK.
- Give the link to your business staff, who can give it to customers, hand them a tablet, or enter the customers' responses themselves. The form requests the customer's contact info.
Method 2: Uploading a Spreadsheet
This method allows for a straightforward one-time upload process, where you can upload files and map fields such as name, email, and phone for survey distribution.
- Under the Campaigns tab, find your campaign, hover over the name, and click on it to display the campaign properties.
- Select the Contacts tab and select Upload Contacts.
- Indicate how to manage existing contacts and their reviews.
- Select Download Excel upload template to download a template sheet, import your contacts into it, and save the sheet.
- Import your contacts into the sheet. Add only the necessary contact information. For example, you wouldn't need phone numbers for an email campaign. When you’re done adding contacts, save the file as a CSV or Excel.
- Drag and drop your sheet into the Upload Contacts page.
LocationHQ uploads your file and validates your entries, displaying error messages for invalid or incorrect location IDs or other issues. When complete, it shows a success message.
Your campaign's Contacts tab now lists the campaign participants. You can continue to upload more contacts from another spreadsheet.
Method 3: Adding Participants Manually
- From the Contacts tab on your campaign page, select + Add New Contacts.
- Add the contact name and information needed for the campaign (i.e., email for email campaigns and phone number for text campaigns).
- Select Save to add the participant to your contact list. The Contacts tab now includes the manually added contacts and those added through the CSV upload.
Method 4: SFTP Contact Ingestion
This feature empowers you, putting you in the driver's seat of your contact ingestion process. It's a tool that streamlines the process and increases the efficiency of sending surveys automatically. With this feature, you can facilitate regular file uploads using terminal commands or an SFTP client (such as FileZilla).
- Go to Engagement > Campaigns and select an existing or create a new campaign.
- From the Contacts tab on your campaign page, select Upload Contacts > SFTP Contact Ingestion.
- Indicate how to manage existing contacts:
- Replace the existing contacts - Overrides the contact if it already exists.
- Skip the contact being added - Bypasses the contact if it already exists.
4. Browse for and select your contact CSV file and map the fields accordingly. Supported fields include name, email, phone, Location ID, Client Location ID, and Custom Field. Ensure that either Location ID or Client Location ID is filled out to match a contact to a specific location for survey responses. It's crucial to include the name and either the email or phone for survey distribution.
5. Review the data for accuracy and click Save.
Step 3. Creating a Standalone Review Link (Optional)
Creating a standalone review link on your website or location pages or adding one to your email signature allows your customers to respond to your survey with a review without receiving an email or text.
- Find your campaign on the Campaigns tab.
- In the Actions section of your campaign entry, select the Direct link to campaign form (the link icon) to display the Campaign Link Generator form.
- (Optional) Enter the merge tag values for your email system.
- Add the Location ID for the location you want feedback on.
- Location ID is optional for survey campaigns
- Location ID is required for review generation campaigns
- When you're done, select the clipboard icon to copy the link and click OK. You can use it on your website, location page, or email signature.
Step 4. Creating a QR Code (Optional)
Creating a QR Code allows your customers to respond to your survey without receiving an email or text.
- Find your campaign on the Campaigns tab.
- In the Actions section of your campaign entry, select the QR Code icon to display the QR Code Generator.
- Customize the QR code via the following parameters:
- Location
